Job Description

We are currently seeking a highly experienced and detail-oriented Senior Document Controller to join our team. The ideal candidate will be responsible for managing all aspects of document control, including the creation, distribution, and organization of crucial project documents. Duties will include ensuring all documentation meets quality standards, tracking revisions, and maintaining accurate records. The Senior Document Controller will collaborate closely with project managers and other team members to ensure smooth operations and compliance with regulations. The successful candidate should have a proven track record in document control, excellent organizational skills, and the ability to work effectively in a fast-paced environment. A keen eye for detail and strong communication skills are essential for this role.


Responsibilities

  • Manage the organization, storage, and retrieval of documents, ensuring information is easily accessible to relevant stakeholders.
  • Develop and implement document control procedures to maintain quality and consistency in document management processes.
  • Review documents for accuracy and compliance with relevant regulations and standards before distribution.
  • Collaborate with various departments to coordinate document approvals and ensure timely revisions and updates.
  • Train and mentor junior document control staff on procedures and best practices in document management.
  • Monitor document lifecycle, including tracking changes, revisions, and archiving outdated documents.
  • Ensure proper version control and naming conventions are followed to avoid confusion and errors.
  • Assist in the preparation and organization of document audits by internal and external parties.
  • Troubleshoot and resolve document management issues to maintain efficiency and accuracy in the system.
  • Stay updated on industry trends and best practices in document control to improve processes and systems as needed.


Requirements

  • Bachelor’s degree in a relevant field such as Business Administration, Information Management, or Engineering.
  • Minimum of 5 years of experience in a document control role, preferably in a senior or lead capacity.
  • Proficiency in document control software and systems, such as Documentum, SharePoint, or Procore.
  • Strong organizational skills and attention to detail to ensure accurate documentation and record-keeping.
  • Excellent communication and collaboration skills to work effectively with team members and stakeholders.
