Job Description

The Senior Administrative Officer will oversee and coordinate a wide range of administrative functions to ensure efficient day-to-day operations within a UAE-based organization. This role involves managing office systems, supervising junior administrative staff, liaising with internal departments, and ensuring compliance with UAE labor and administrative regulations. The officer will play a key role in maintaining organizational effectiveness, improving workflows, and supporting executive-level decision-making across departments.


Responsibilities:

  • Managing and improving administrative systems, processes, and policies to enhance operational efficiency and internal coordination.

  • Supervising junior administrative staff, assigning tasks, and ensuring consistent performance in line with company expectations.

  • Handling correspondence, documentation, and reports, ensuring accuracy and timely distribution to relevant stakeholders.

  • Coordinating with HR, finance, and operations departments to support smooth organizational functions.

  • Overseeing procurement of office supplies and services, managing vendor relationships, and ensuring cost-effective purchasing.

  • Assisting in planning and organizing internal meetings, events, and business travel arrangements in compliance with UAE protocols.

  • Ensuring accurate record-keeping, data confidentiality, and compliance with UAE administrative and labor laws.

  • Preparing and maintaining reports, dashboards, and logs for senior management review and regulatory submissions when required.


Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.

  • Minimum of 5 years of experience in administrative roles, with at least 2 years in a senior or supervisory capacity within the UAE.

  • Strong understanding of UAE labor laws, government procedures, and document control requirements.

  • Excellent organizational and multitasking skills with the ability to handle high-pressure environments.

  • Proficiency in MS Office applications and office management systems; ERP experience is a plus.

  • Exceptional communication and interpersonal skills to interact effectively with staff and external vendors.

  • High attention to detail and the ability to maintain confidentiality and professionalism.

  • Fluency in English is required; Arabic is an advantage for dealing with local authorities and suppliers.
