A Medical Records Clerk is responsible for managing, organizing, and maintaining patient health records in a healthcare facility. This role involves handling confidential medical information, ensuring accuracy in data entry, and following strict compliance regulations. The ideal candidate must have strong attention to detail, excellent organizational skills, and a working knowledge of medical terminology and electronic health records (EHR) systems. Medical Records Clerks play a critical role in supporting healthcare professionals by providing accurate and timely access to patient information.
Organize, update, and maintain patient medical records in electronic and physical formats.
Process patient information requests while ensuring compliance with privacy laws and hospital policies.
Retrieve and file records promptly for medical staff, ensuring easy access to critical information.
Verify the accuracy of patient data and correct errors as needed.
Scan, digitize, and securely store paper records in the electronic health record (EHR) system.
Handle record transfers between departments or healthcare facilities as required.
Maintain confidentiality and comply with HIPAA and other relevant medical record-keeping regulations.
Assist in responding to audits, insurance claims, and legal requests for patient records.
Track and manage medical record retention and disposal according to healthcare regulations.
Support administrative staff with general clerical duties, such as answering phones and filing documents.
High school diploma or equivalent; certification in Health Information Management (HIM) is a plus.
Proven experience as a Medical Records Clerk or in a similar healthcare administrative role.
Familiarity with electronic health records (EHR) systems and medical databases.
Knowledge of medical terminology, coding, and HIPAA compliance.
Strong organizational and data management skills with high attention to detail.
Ability to handle confidential patient information with discretion and professionalism.
Proficiency in Microsoft Office and other administrative software.
Excellent communication skills for interacting with healthcare professionals and patients.
Ability to multitask, work under pressure, and meet deadlines.
Prior experience in a hospital, clinic, or medical office setting is preferred.
