Job Description

We are currently looking to hire a proactive and organized Hire Desk Controller to join our operations team and serve as the primary point of contact for customers placing equipment hire requests. This role plays a vital part in ensuring the smooth coordination of hire operations, from managing client communications to coordinating delivery schedules and maintaining accurate hire records. The ideal candidate will be customer-focused, possess excellent communication skills, and have the ability to work efficiently in a fast-paced and deadline-driven environment.


Responsibilities:

  • Handle incoming customer inquiries and hire requests in a professional and timely manner through phone, email, or in person

  • Accurately process equipment hire orders, ensuring correct documentation and adherence to internal procedures

  • Liaise with the operations and logistics teams to coordinate equipment delivery and collection schedules

  • Maintain and update hire records, ensuring data accuracy and completeness at all times

  • Monitor equipment availability and manage booking schedules to optimize utilization

  • Provide quotations and respond to pricing inquiries, following company pricing policies

  • Address customer issues or concerns and resolve them promptly to ensure client satisfaction

  • Assist in tracking equipment returns and checking condition reports for damage or loss

  • Support the sales team with administrative tasks related to hire contracts and agreements

  • Prepare regular reports and documentation for internal review and performance tracking


Requirements:

  • Proven experience in a hire desk, customer service, or administrative coordination role, preferably in equipment or tool hire

  • Strong communication skills with the ability to build rapport with clients and internal teams

  • High level of organizational skills with the ability to multitask and manage competing priorities

  • Proficiency in using MS Office applications and hire management software or CRMs

  • Ability to remain calm and effective under pressure, especially during peak operational times

  • Strong attention to detail with a commitment to maintaining accurate records and documentation

  • A customer-focused mindset and a proactive attitude towards problem-solving

  • Diploma or Bachelor's degree in Business Administration, Logistics, or a related field is preferred
