Job Description

The Front Office Executive serves as the first point of contact for clients, visitors, and employees, ensuring a professional and welcoming reception experience. This role involves managing the front desk, handling incoming calls, coordinating appointments, and supporting administrative tasks. Working in a fast-paced corporate or hospitality environment in the UAE, the executive is expected to maintain a high level of professionalism, efficiency, and customer service.


Responsibilities:

  • Greeting and assisting visitors, clients, and staff with a courteous and professional demeanor.

  • Managing a multi-line phone system by answering, screening, and redirecting calls appropriately.

  • Scheduling and coordinating appointments, meetings, and conference room bookings.

  • Handling incoming and outgoing mail, packages, and courier services.

  • Maintaining a clean, organized, and welcoming front desk and reception area.

  • Supporting administrative tasks such as data entry, filing, and document preparation.

  • Coordinating with facility management for office maintenance and service requests.

  • Managing visitor logs, issuing badges, and ensuring security protocols are followed.

  • Assisting with internal communications and disseminating important information as needed.

  • Providing general support to other departments as requested.


Requirements:

  • High school diploma or equivalent; diploma or degree in Business Administration or Hospitality is a plus.

  • 2–3 years of experience in a front desk or customer service role, preferably within the UAE.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.

  • Excellent verbal and written communication skills in English; knowledge of Arabic is an advantage.

  • Professional appearance with a strong sense of etiquette and customer service orientation.

  • Ability to multitask, remain calm under pressure, and manage time efficiently.

  • Familiarity with front desk or receptionist systems is preferred.

  • Strong interpersonal skills and a positive, team-oriented attitude.

  • Flexibility to work extended hours or shifts if required.
