Job Description

An Executive Assistant provides high-level administrative support to executives, ensuring smooth daily operations and effective time management. This role involves managing schedules, coordinating meetings, handling confidential information, and acting as a bridge between executives and internal or external stakeholders. The ideal candidate should have excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.


Responsibilities:

  • Manage and maintain executive calendars, scheduling appointments and meetings efficiently

  • Coordinate travel arrangements, including flights, hotels, and transportation

  • Prepare reports, presentations, and correspondence on behalf of executives

  • Handle confidential documents and ensure the security of sensitive information

  • Serve as the primary point of contact between executives and internal/external stakeholders

  • Organize and attend meetings, take minutes, and follow up on action items

  • Conduct research and compile data to assist executives in decision-making

  • Manage office operations, including ordering supplies and maintaining records

  • Screen and direct phone calls, emails, and other communications to the appropriate parties

  • Assist in project management tasks and ensure deadlines are met


Requirements:

  • Bachelor's degree in business administration, management, or a related field preferred

  • Proven experience as an Executive Assistant or similar administrative role

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Excellent organizational and time management skills

  • Strong verbal and written communication abilities

  • Ability to handle multiple priorities with a high level of professionalism

  • Discretion and confidentiality in handling sensitive business matters

  • Strong problem-solving skills and attention to detail

  • Flexibility and adaptability to changing work environments and priorities

  • Experience with travel planning and expense management is a plus
