Job Description

As an Executive Assistant, you will be responsible for providing high-level administrative support to executives within the organization. Your duties will include managing schedules, coordinating meetings and appointments, screening and directing phone calls and emails, preparing reports and presentations, and conducting research on behalf of the executives. You will be expected to prioritize and manage multiple tasks efficiently, maintain confidentiality of sensitive information, and serve as the main point of contact between executives and internal/external stakeholders. Excellent communication, organizational, and time management skills are essential for this role, along with a proactive and detail-oriented approach. Previous experience in a similar executive support role and proficiency in office software tools are typically required.


Responsibilities

  • Provide high-level administrative support to executives by managing calendars, scheduling meetings, and prioritizing emails and phone calls.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate travel arrangements, including booking flights, hotels, and transportation.
  • Prepare and distribute meeting agendas, minutes, and other relevant materials.
  • Conduct research, compile data, and prepare reports for executive review.
  • Manage and maintain executive's contacts and confidential information.
  • Anticipate the needs of executives and proactively address issues to ensure smooth operations.
  • Serve as the primary point of contact for internal and external stakeholders, including screening and directing inquiries.
  • Assist in organizing and planning events, conferences, and corporate functions.
  • Collaborate with other administrative staff to ensure seamless communication and coordination within the organization.


Requirements

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as an executive assistant or in a similar role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office and other relevant software.
