Job Description

As a Document Controller, you will be responsible for managing and maintaining all project documents, both electronic and hard copy. Your main duties will include organizing and filing documents, ensuring all versions are up to date, and distributing documentation to project teams and stakeholders as needed. You will collaborate with various departments to coordinate document reviews, approvals, and revisions, and ensure compliance with project procedures and industry standards. The ideal candidate will have a keen eye for detail, strong organizational skills, and proficiency in document management software. You must also possess excellent communication skills to effectively interact with team members and external parties. This role requires a high level of accuracy, confidentiality, and the ability to work efficiently in a fast-paced environment.


Responsibilities

  • Develop and maintain document control processes in compliance with company policies and industry standards.
  • Manage and control the flow of documentation within the organization, ensuring accuracy, quality, and integrity.
  • Establish and maintain proper filing and tracking systems to ensure timely access to documents.
  • Monitor document changes and revisions, ensuring that all versions are up to date and properly labeled.
  • Coordinate with internal teams to collect, organize, and distribute documents as needed.
  • Conduct regular audits of document control procedures to identify areas for improvement.
  • Provide training and support to staff on document control processes and best practices.
  • Ensure compliance with data protection and confidentiality policies when handling sensitive information.
  • Assist in the preparation of reports and presentations using document control tools.
  • Collaborate with external stakeholders, such as clients and regulatory agencies, to exchange documentation as required.
  • Bachelor's degree in a relevant field such as Business Administration, Information Management, or a related field.
  • Previous experience working as a Document Controller or in a similar role.
  • Proficiency in document management software and Microsoft Office applications.
  • Strong organizational skills and attention to detail.
  • Excellent communication and teamwork skills.
