Job Description

We are seeking a highly organized and proactive Executive Assistant to support our corporate office team. The ideal candidate will be responsible for providing executive level administrative support to senior management. Duties include managing schedules, coordinating meetings, handling travel arrangements, preparing reports and presentations, and assisting with project management tasks. The Executive Assistant must possess excellent communication skills, attention to detail, and the ability to prioritize and multitask in a fast-paced environment. A high level of professionalism and discretion is required as this role involves handling confidential information. The successful candidate will have a minimum of 2 years of experience in a similar role, proficiency in Microsoft Office suite, and a proven track record of supporting senior-level executives. A bachelor's degree is preferred but not required.


Responsibilities

  • Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
  • Prepare and organize documents, reports, and presentations for executive meetings.
  • Act as the primary point of contact for internal and external stakeholders, including screening and directing phone calls and emails.
  • Coordinate and facilitate communication between executives and team members.
  • Assist in the planning and execution of corporate events, conferences, and other engagements.
  • Handle confidential and sensitive information with integrity and discretion.
  • Conduct research and compile data to support decision-making processes.
  • Manage projects and follow up on action items to ensure timely completion.
  • Monitor and manage expense reports, budgets, and invoices for the executive team.
  • Perform additional administrative tasks and provide general support as needed.


Requirements

  • Bachelor's degree in Business Administration or related field.
  • Minimum of 3 years of experience as an executive assistant or in a similar role.
  • Proficient in Microsoft Office suite and other office management software.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion and professionalism.
