Job Description

As an Events Coordinator, you will be responsible for planning, organizing, and executing various events, conferences, meetings, and gatherings. Your attention to detail, strong organizational skills, and creative thinking will contribute to the successful delivery of memorable and well-executed events.


Responsibilities:


  • Collaborate with clients or internal teams to understand event objectives, themes, and requirements.
  • Develop event plans, timelines, and budgets that align with the event's goals.
  • Research and recommend suitable venues for events, considering capacity, location, and amenities.
  • Coordinate venue logistics, including seating arrangements, decor, lighting, and audiovisual equipment setup.
  • Liaise with vendors, suppliers, and service providers, such as caterers, decorators, and audiovisual technicians.
  • Obtain quotes, negotiate contracts, and manage vendor relationships.
  • Manage guest lists, invitations, RSVPs, and registration processes.
  • Provide excellent customer service to attendees, addressing inquiries and providing event details.
  • Plan event programs, including agendas, speakers, entertainment, and activities.
  • Ensure a balanced and engaging schedule for participants.
  • Coordinate event logistics, such as transportation, accommodation, and parking arrangements.
  • Ensure all necessary materials and equipment are available for the event.
  • Assist in developing promotional materials, invitations, and marketing collateral for the event.
  • Utilize social media and other channels to promote the event and attract attendees.
  • Oversee event setup, registration, and on-site operations to ensure a smooth and seamless experience.
  • Manage any unexpected issues that may arise during the event.
  • Monitor event expenses and budgets, ensuring adherence to financial guidelines.
  • Maintain accurate records of all financial transactions related to the event.
  • Gather feedback from participants and stakeholders to assess the success of the event.
  • Compile reports and recommendations for future improvements.

  • Bachelor's degree in Hospitality, Marketing, or a related field.
  • Previous experience in event planning or coordination is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Creative thinking and problem-solving abilities.
  • Ability to multitask and work under pressure to meet deadlines.
  • Proficiency in using event management software, project management tools, and Microsoft Office suite.
  • Familiarity with event marketing and promotion strategies.
  • Customer service orientation and a positive attitude.
  • Flexibility to work irregular hours, including evenings and weekends, as required by events.
  • Fluent in English; knowledge of additional languages such as Arabic is beneficial.
